The short answer

Yes, HubSpot has a native QuickBooks integration, and as of 2026 it is available on all HubSpot plans. It connects HubSpot to QuickBooks Online and can sync contacts with QuickBooks customers, products with QuickBooks products and services, and invoices and credit memos in both directions, with payment details shown on HubSpot records. It does not connect to QuickBooks Desktop. Desktop users need a third-party connector from the HubSpot marketplace.

It works well for a straightforward sales-to-invoice flow. It needs careful setup around product SKUs, customer names and who edits invoices where, or it will create duplicates and sync errors.

What syncs, and in which direction

According to HubSpot’s knowledge base, the current integration maps these records:

  • Contacts to customers: two-way.
  • Products to products and services: two-way, matched on SKU. By default only products with SKUs sync.
  • Invoices: two-way. Invoices created in HubSpot can be pushed to QuickBooks Online.
  • Credit memos: two-way or one-way, depending on your settings.
  • Payments: synced separately, and only payments created after you connect the app.

Timing differs by direction. HubSpot says changes in HubSpot are detected within a few minutes, while changes in QuickBooks Online are picked up every 30 minutes. You can also trigger a manual sync. You choose which system wins when a record conflicts.

What it is good for

  • Sales reps see whether a customer has open or overdue invoices without asking accounting.
  • Closed deals become invoices without retyping line items.
  • Customer records stay consistent across sales and finance.
  • Payment status appears on the deal or contact timeline, so account managers can follow up at the right time.
  • Reporting in HubSpot can include revenue actually invoiced, not just deal amounts.

Setup steps

  1. Check permissions. In HubSpot you need Super Admin access or App Marketplace permissions. In QuickBooks you need an admin login. Sandbox QuickBooks accounts cannot be connected.
  2. Clean up QuickBooks first. Merge duplicate customers and give every product you sell a SKU. QuickBooks requires unique customer display names, and duplicates here become sync errors later.
  3. Install the app from the HubSpot marketplace and sign in to QuickBooks Online.
  4. Configure contact sync. HubSpot recommends syncing all QuickBooks customers as contacts so invoices attach to the right person. Decide which system wins conflicts.
  5. Configure product sync. Decide whether QuickBooks or HubSpot is the source of truth for prices.
  6. Configure invoice sync. Pick the income account for the Custom Line Item product, which HubSpot uses for line items that do not match a QuickBooks product.
  7. Test with a dummy deal. Create an invoice in HubSpot, confirm it lands correctly in QuickBooks, record a test payment and check it flows back.
  8. Write down the rules. Who creates invoices, where edits happen and what to do when a sync fails.

Limits to know before you rely on it

HubSpot’s documentation lists several restrictions. These matter most for finance teams:

  • Editing HubSpot invoices in QuickBooks. Adding or removing line items, changing prices, adding tax or removing payments on a HubSpot-created invoice in QuickBooks causes sync failures. Edit in HubSpot.
  • Tax. Automated sales tax syncs only if you use it in HubSpot, and non-U.S. QuickBooks accounts that require tax on invoices cannot use invoice sync. U.S. businesses that charge sales tax should test carefully.
  • Revenue recognition. HubSpot line items do not carry service dates, so QuickBooks revenue recognition does not work with synced invoices.
  • Split payments. A payment applied to multiple invoices does not sync.
  • Credit memos. Only one credit memo can be applied to one invoice per payment.
  • Card fees. Processing fees do not sync and need manual reconciliation.
  • Company associations. Synced invoices attach to the contact’s primary company. Contacts with no company get no company association.

If you use QuickBooks Desktop

HubSpot’s native app is for QuickBooks Online. For Desktop, the HubSpot marketplace lists third-party connectors, such as Commercient SYNC, whose listing includes QuickBooks Desktop among supported versions. Check sync direction, supported Desktop versions and pricing on each listing, and remember that Desktop versions lose Intuit support on a schedule. A worked example

Consider an illustrative 30-person services firm. Sales closes a deal in HubSpot with three line items. With the integration set up, the rep generates an invoice from the deal, it appears in QuickBooks Online within minutes, and accounting sees it in the usual receivables report. The client pays by card, the payment lands in QuickBooks, and within the next sync cycle the payment shows on the HubSpot deal timeline, so the account manager knows to schedule the kickoff.

Now the client asks for a discount after the invoice is sent. If accounting edits the price in QuickBooks, the sync breaks for that invoice. The fix is a simple rule: billing changes are made in HubSpot by whoever owns the invoice, or the invoice is voided and reissued. Writing that rule down before go-live prevents most sync problems.

When the native integration is not enough

Some businesses outgrow the built-in sync. Signs include quotes that need tax and discounts the native sync cannot carry, subscriptions or milestone billing, several QuickBooks companies, a field service or project tool in the middle, or a need to trigger actions such as provisioning or onboarding when an invoice is paid. Options then include a marketplace connector with more mapping control, an automation platform, or a custom integration built on the HubSpot and QuickBooks APIs.

Whichever route you take, decide which system owns each piece of data, keep a log of sync errors and have someone check it weekly.

Ongoing maintenance checklist

  • Review the sync error list weekly and fix records at the source.
  • Add a SKU to every new product before it is used on a deal.
  • Check new customers for duplicate display names in QuickBooks.
  • Reconcile card processing fees in QuickBooks each month.
  • Re-test a full invoice and payment after any change to products, tax settings or HubSpot invoice templates.

Questions we hear

Does HubSpot have a QuickBooks integration?

Yes. HubSpot’s native QuickBooks Online integration is available on all HubSpot plans as of 2026. It syncs contacts, products, invoices and credit memos, and shows payment details in HubSpot.

Does the HubSpot QuickBooks integration work with QuickBooks Desktop?

No. The native app connects only to QuickBooks Online. Third-party connectors on the HubSpot marketplace offer Desktop support at additional cost.

How often does HubSpot sync with QuickBooks?

HubSpot says changes made in HubSpot are detected within a few minutes and changes made in QuickBooks Online every 30 minutes. You can also run a manual sync.

Why are my HubSpot invoices failing to sync to QuickBooks?

Common causes are duplicate customer display names, products without SKUs, and edits made in QuickBooks to invoices that were created in HubSpot. Fix the record and edit HubSpot invoices only in HubSpot.
