The short answer

For most growing businesses in 2026, QuickBooks Online is the better choice, mainly because Intuit is steering new customers there and because most modern apps, CRMs and e-commerce platforms connect only to Online. QuickBooks Desktop still makes sense in two situations: you already run Desktop Pro Plus or Premier Plus and it works, or you need QuickBooks Enterprise for deep inventory, manufacturing or job costing that Online does not match.

As of 2026, Intuit no longer sells new Desktop Pro Plus, Premier Plus or Mac Plus subscriptions. Existing subscribers can renew, and Enterprise is still sold. Desktop versions also have hard support cutoffs, which matter for payroll, bank feeds and security updates.

Where QuickBooks Desktop stands in 2026

  • New sales. According to Method’s guide (updated September 2026), Intuit stopped selling new Pro Plus, Premier Plus and Mac Plus subscriptions in September 2024. Enterprise is the only Desktop product sold to new customers.
  • Version cutoffs. Intuit’s service discontinuation policy ended support for Desktop 2023 versions, including Pro Plus 2023, Premier Plus 2023 and Enterprise 23.0, after May 31, 2026.
  • What stops at cutoff. Intuit lists live support, critical security updates, payroll tax updates, online banking downloads, payment processing, emailing forms and several other connected features. The software still opens, but it stops being a connected business system.
  • Desktop 2024. Method reports that Intuit has said it will keep supporting the 2024 version without an announced end date. Confirm your own version’s status in Intuit’s policy before you plan around it.

If you are on Desktop 2023 or older, you are already past the cutoff and should treat migration as a near-term project. Press F2 inside QuickBooks Desktop to see your exact version and release before deciding.

Price and limits compared

As of October 2026, Intuit’s pricing page lists QuickBooks Online at $38 a month for Simple Start (1 user), $85 for Essentials (3 users), $140 for Plus (5 users) and $340 for Advanced (25 users), before payroll and other add-ons. Intuit often discounts the first few months.

Desktop Pro Plus and Premier Plus are annual subscriptions available to renewing customers. QuickBooks Enterprise is priced by edition and number of users, and Method’s guide notes that Intuit raised Desktop prices, including Enterprise, effective February 1, 2026. Prices change often, so check Intuit directly and ask your accountant whether a ProAdvisor discount applies.

The real cost difference is rarely the subscription. It is the time spent on remote access, hosting, manual data entry and workarounds when other systems cannot connect.

Side-by-side: what actually differs

QuickBooks Online

Browser and app access from anywhere, automatic updates, bank feeds, large app marketplace, native connections to most CRMs and e-commerce platforms, user limits by plan, inventory and job costing improving but lighter than Enterprise.

QuickBooks Desktop

Installed on a PC or hosted server, faster for heavy data entry, deeper inventory, manufacturing and industry editions in Enterprise, remote access needs hosting or remote desktop, fewer modern integrations, version support ends on a schedule.

How the choice affects your other systems

This is the factor most comparisons skip, and it is often decisive for a growing business.

  • CRM. HubSpot’s native QuickBooks integration is for QuickBooks Online only. Desktop users need a third-party connector, which adds cost and another moving part.
  • Field service and job management. Tools like Jobber connect to QuickBooks Online, and Jobber states that it does not sync to QuickBooks Desktop.
  • E-commerce. Shopify, BigCommerce and WooCommerce connectors overwhelmingly target Online. Our guide to connecting QuickBooks to Shopify and your CRM covers the common setups.
  • Automation. Online has a modern API, so tools that create invoices, sync payments or update customer records work more reliably.
  • Remote work. Desktop needs a hosted server or remote desktop setup for staff outside the office, which brings its own security and backup work.

Hidden costs of staying on Desktop

Desktop’s annual subscription can look cheaper than paying monthly for Online, but the total often tells a different story once you add the systems around it.

  • Hosting or remote access. A server in the office, a hosting provider, or remote desktop licenses so staff can reach the company file from home.
  • Backups. The company file needs its own backup and restore testing, separate from your cloud apps.
  • Manual data entry. Without native connections, someone retypes orders, invoices or payments from the CRM, store or field app, which costs hours and creates errors.
  • Third-party connectors. Where integrations exist for Desktop, they are often paid add-ons with their own maintenance.
  • Forced upgrades. Each version reaches end of support on Intuit’s schedule, so plan for a migration project every few years.

Decision rules

  1. Choose Online if you are starting fresh, have remote staff, want your CRM, store or field app to sync with accounting, or have fewer than 25 accounting users.
  2. Stay on Desktop for now if you are on a supported version, rely on reports or workflows Online cannot reproduce, and have no integration needs in the next year. Set a review date.
  3. Look at Enterprise if you need advanced inventory, assemblies, multiple warehouses or industry-specific job costing and can live with fewer integrations.
  4. Look beyond QuickBooks if you have outgrown both, for example multi-entity consolidation, complex manufacturing or more than 25 finance users. That is ERP territory.

If you migrate from Desktop to Online

  1. Check that your Desktop file meets Intuit’s size and target limits for conversion, and clean up old lists first.
  2. Decide how much history to bring over. Many businesses move open balances plus one or two years of detail.
  3. Rebuild custom reports, memorized transactions and user permissions in Online. They do not all carry over.
  4. Reconnect bank feeds, payroll and payment processing, and test them before you stop using Desktop.
  5. Reconnect or replace each integration, and map customer and product records so the CRM and accounting match.
  6. Keep a read-only backup of the Desktop company file for your records and your accountant.

Involve your accountant early, especially around payroll and sales tax. This is general information, not tax or accounting advice.

Questions we hear

Is QuickBooks Desktop being discontinued?

Not entirely. As of 2026, Intuit no longer sells new Pro Plus, Premier Plus or Mac Plus subscriptions, but existing subscribers can renew and Enterprise is still sold. Each Desktop version also loses support on a set date, and the 2023 versions lost support after May 31, 2026.

Is QuickBooks Online cheaper than Desktop?

For small teams the subscription is usually comparable or lower, especially once you add hosting and remote access costs for Desktop. Enterprise costs more but includes deeper features. Compare total cost, including integrations.

Can I use QuickBooks Desktop with HubSpot?

Not with HubSpot’s native integration, which is built for QuickBooks Online. Third-party connectors on the HubSpot marketplace support Desktop, at extra cost.

What happens if I keep using an unsupported Desktop version?

The software still opens, but Intuit stops live support, security updates, payroll tax updates, bank downloads and payment processing for that version.

How long does a Desktop to Online migration take?

For a small business with clean books, often a few weeks including testing. Heavy customization, payroll and many integrations add time.
