The short answer

For a business already on Microsoft 365, Copilot is usually the better default because it works inside Outlook, Teams, Word and Excel and can use your company emails and files with your existing permissions. ChatGPT is often stronger as a general-purpose assistant for writing, analysis, research and custom assistants, and it fits firms on Google Workspace or mixed tools. On data protection, Microsoft states that Copilot prompts and responses are not used to train its foundation models, and OpenAI sells ChatGPT business plans with their own business data terms; read each vendor’s current terms. The real risk is staff using free personal accounts.

The comparison that matters is business plan against business plan. Comparing free consumer apps tells you little about what is safe for client data.

Side by side

Data protection

Copilot: Microsoft says prompts and responses with enterprise data protection are not used to train foundation models and are logged in your tenant for audit and retention. ChatGPT Business and Enterprise: OpenAI offers ChatGPT Business and Enterprise with business data terms and admin controls. Confirm on OpenAI’s current enterprise privacy page how your data is handled, and note that personal accounts are governed by consumer terms you do not control.

Integration

Copilot: built into Microsoft 365 apps, grounded in your Microsoft Graph data with a paid license. ChatGPT: can connect to some third-party apps through connectors, depending on plan and admin settings, and runs custom GPTs and projects for repeat work.

Cost model

Copilot: Copilot Chat is included with Microsoft 365 business plans. Microsoft 365 Copilot Business was announced at $21 per user per month for organizations with up to 300 users, effective December 1, 2025. ChatGPT: per-seat Business plans; check OpenAI’s pricing page for current seat prices as of 2026.

Where Copilot is stronger

  • Inbox and meetings. Summarizing a long Outlook thread or a recorded Teams meeting without copying anything out.
  • Work across your own files. “Draft a proposal based on the last three proposals for this client” works because it can find those files.
  • Admin control. Licensing, audit logs, retention and data loss prevention sit in the same Microsoft 365 admin tools you already use.
  • One vendor. Your data stays under the Microsoft agreements that already cover your email and files.

Where ChatGPT is stronger

  • General reasoning and writing. Many users find it more flexible for brainstorming, editing and explaining complex topics.
  • Data analysis. Uploading a spreadsheet and asking for analysis, charts and cleaned output is a common use.
  • Custom assistants. Shared GPTs and projects for repeat tasks, such as a proposal writer loaded with your service descriptions.
  • Non-Microsoft shops. Firms on Google Workspace get more from ChatGPT’s connectors than from Copilot.

Capabilities on both sides change every few months, so test the specific tasks you care about rather than relying on any comparison, including this one.

The real risk: personal accounts

Whichever tool you choose, the biggest data exposure in most small businesses is employees pasting client details into personal, free accounts. Those accounts are outside your control: you cannot see what was shared, enforce settings or remove access when someone leaves. Fix this before debating brands.

  1. Choose an approved tool and provide business accounts to the people who need them.
  2. Require sign-in with company accounts and single sign-on where available.
  3. Write a one-page AI use policy covering what data may and may not be entered.
  4. Tell staff plainly that personal AI accounts are not for client or employee data.
  5. Review usage after 30 days and adjust.

Running both: rules for a mixed setup

Many firms end up with Copilot Chat for everyone and a few ChatGPT Business seats for heavy writers or analysts. That works if you set rules.

  • Only business plans, never personal accounts, for any work content.
  • Decide which tool may connect to which data. For example, Copilot for SharePoint and email, ChatGPT only for files users upload deliberately.
  • Keep sensitive categories out of both unless reviewed: health information, full financial account numbers, Social Security numbers and privileged legal material.
  • A person reviews AI output before it goes to a client.
  • Remove seats the same day someone leaves, just like email.

If you are regulated, such as a medical, legal or financial practice, treat this as general information and confirm with counsel which tools and agreements your obligations require.

Run a one-week test on your own work

The fastest way to decide is to try both on real tasks. Pick five tasks your team does every week, for example summarizing a long client email thread, drafting a proposal section, cleaning up a spreadsheet, writing a job posting and answering a policy question from your handbook. Have two or three people do each task in both tools, using business accounts and non-sensitive or approved material. Score each result on accuracy, how much editing it needed and how long it took. Note where each tool needed files copied in and where it could find them on its own. One week of this tells you more than any review. Ask testers which tool they would choose if they could keep only one, and why; that answer often settles it.

Costs beyond the seat price

  • Setup and security. Single sign-on, admin settings, data controls and, for Copilot, a permissions cleanup.
  • Training. An hour or two per person, plus a shared page of good prompts.
  • Overlap. Paying for both tools for the same people rarely makes sense. Review seat use quarterly.
  • Policy and review time. Someone owns the AI policy and answers staff questions.

For many 25 to 100 person firms, the cheapest sound setup is Copilot Chat for everyone at no extra cost, plus paid seats of one tool only for the people whose weekly test results justify them. Revisit the choice once a year, because both products and their prices keep changing.

A quick decision guide

  • Microsoft 365, files in SharePoint and OneDrive, lots of meetings: start with Copilot Chat, pilot paid Copilot.
  • Google Workspace: compare ChatGPT Business with Gemini in Workspace. Our Microsoft 365 vs Google Workspace guide covers the platform choice.
  • Heavy writing, research or analysis roles: consider ChatGPT Business seats for those people.
  • Files mostly on a local server: move files to the cloud and tidy permissions first. AI will help little until then.

Questions we hear

Is Copilot or ChatGPT better for business?

If you run Microsoft 365, Copilot usually fits better because it works inside your email, files and meetings. ChatGPT is often preferred for general writing, analysis and custom assistants, and for Google Workspace firms.

Does ChatGPT Business use my data for training?

Check OpenAI’s current enterprise privacy terms before you decide. Business plans come with business data terms and admin controls; personal accounts are governed by consumer terms, and users there can opt out of their chats being used for training.

Is Microsoft Copilot safer than ChatGPT?

Microsoft states Copilot prompts and responses are not used to train its foundation models; for ChatGPT, review OpenAI’s current business data terms. Copilot keeps data under your existing Microsoft 365 agreements and admin tools, which some firms find simpler to govern.

Can we use both Copilot and ChatGPT?

Yes, if both are business plans and you set clear rules on which data each may access, plus human review of output.

Is free ChatGPT safe for client information?

Personal free accounts are outside company control. Do not use them for client, employee or financial data.
