  • What is the process, step by step? Look for discovery, a sitemap, design approval, development, content, testing and launch, with dates.
  • Who writes the content? Many projects stall here. Know whether copywriting is included.
  • How will you protect our current rankings? The right answer includes a redirect map from old pages to new ones.
  • How do you handle speed and accessibility? Ask about Google’s Core Web Vitals and the Web Content Accessibility Guidelines (WCAG).
  • What does support look like after launch? Hosting, updates, backups, security monitoring and fixes. Get it in writing.
  • How will we know if the site is working? Form and call tracking should be set up at launch.
  • Can we speak to a client you built a site for? A short reference call tells you more than a polished case study.

Red flags

  • Promises of “page one on Google” or guaranteed rankings. Google’s own guidance on hiring an SEO says no one can guarantee a number one ranking.
  • A price given before anyone asks what your business does.
  • No mention of redirects when you already have a site.
  • Contracts that keep your domain or site in the agency’s name.
  • A portfolio of beautiful sites that don’t load well on a phone. Test a few yourself.
  • No written scope. If it is not listed, assume it is not included.

Look at results, not just screenshots

A portfolio shows what an agency can make look good. It does not show whether those sites bring in business. When you review past work, go further:

  • Open the live sites on your phone. Most visitors will see your site on a phone first. Check that pages load quickly, text is readable and buttons are easy to tap.
  • Look for before and after examples. A redesign that clearly improved an existing site tells you more than a brand-new site with nothing to compare against.
  • Search for a past client’s service and city. See whether the site shows up. It is not proof on its own, but it is a useful signal.
  • Ask what changed for the client. More calls, more form leads, fewer support questions? A good agency knows and can tell you.
  • Check how old the work is. A portfolio full of sites from years ago may not reflect current standards for speed and accessibility.

The questions an agency asks you are as telling as the answers it gives. Expect to hear questions like these:

  • Who are your best customers, and how do they usually find you?
  • What do people ask before they buy from you?

  • Who will update the site after launch?
  • Which systems should the site connect to, such as your CRM, booking or accounting software?

If nobody asks about your customers or your goals, the agency is planning a design, not a business tool.

How to compare proposals side by side

Put each proposal into a simple table with these rows. Then compare like for like.

  • Number of page layouts and total pages
  • Custom design or template
  • Content: written by agency, by you, or shared
  • Platform
  • Features and integrations included
  • Redirect plan for existing pages
  • Editing access and training
  • Ownership of site, domain and hosting account
  • Timeline and what the agency needs from you
  • Yearly running costs after launch

The cheapest proposal is often missing content, redirects or support. The most expensive is not automatically the best. Pick the one where you understand exactly what you get.

What a good first meeting looks like

A good agency spends most of the first call asking about your business: who your best customers are, how they find you, what they ask before they buy, and what your current site gets wrong. It should look at your existing site and Google presence and give you at least one specific observation. You should leave knowing the rough process, timeline and next step, even if you don’t have a final price yet.

If the call is mostly a sales presentation, or you leave with more questions than answers, that is a useful signal too.
