As of 2026, published pricing guides put fully managed IT for small and midsize businesses at roughly $100 to $200 per user per month. Dataprise’s July 2026 guide gives that range for midsize companies. Datapath’s 2026 guide gives $100 to $200 for core managed IT and $200 to $400 per user for plans with heavier security, such as managed detection and response and backup validation.
For a 30-person office, $100 to $200 per user works out to about $3,000 to $6,000 a month before software licenses, hardware and one-time projects. Both guides come from managed service providers, and ranges vary a lot by region and scope. Treat them as a sanity check, not a quote. Most providers use one of four models. Knowing which one you are looking at makes quotes easier to compare.
Many providers also charge a one-time onboarding fee to document your systems, install their tools and clean up what they find. Datapath’s guide notes that onboarding and project work are usually separate from the monthly fee, so ask for that number up front.
Two businesses with the same headcount can get very different quotes. These are the factors that matter most.
A fair managed IT agreement for a 25 to 100 person business usually covers the day-to-day work and the preventive work. Use this as a checklist when you read a proposal.
If a quote leaves out backups, security or user changes, it is not a full managed IT plan. It is a help desk with a lower price tag.
A quick test: ask each provider what happens on the day an employee leaves. A complete plan has a clear answer, including who disables the account, who recovers the laptop and who changes shared passwords. A vague answer tells you the work falls back on you.
Read the exclusions as carefully as the inclusions. These items are commonly billed separately.

The alternative many owners consider is a full-time IT person. According to the U.S. Bureau of Labor Statistics, the median annual wage for computer user support specialists was $61,860 in May 2025, and the median for network and computer systems administrators was $99,130. Benefits add more. BLS data for June 2026 shows benefits made up 30 percent of total compensation for private industry workers, so a $61,860 salary implies roughly $88,000 in total employment cost before tools, training and recruiting.
One person also cannot cover every skill, take vacation without a gap or watch your systems while they sleep. A low monthly number can be the right choice. It can also hide gaps that cost far more later. Watch for these.
