Let clients confirm or reschedule

To set up automated appointment reminders, turn on the reminder feature in the system where appointments already live, such as your practice management software, booking tool or Microsoft Bookings, and send two messages: one two or three days before, and one on the day or the day before. Use email for detail and text for the nudge, let people confirm or reschedule with a reply or a link, and record consent to text.
The payoff is real. A 2016 meta-analysis of 21 randomized studies in clinics found patients who got reminders were about 25 percent less likely to miss appointments, and multiple reminders worked better than a single one.
Reminders must read from the live schedule. If someone reschedules, the reminder has to change too. That rules out manual calendar alerts and separate spreadsheets.
If appointments live in one system and customer contact details in another, connect them before you automate. Otherwise reminders go to old numbers.
A sequence that works for most appointment-based businesses:
Adjust to your business. A dental cleaning booked six months out benefits from an extra reminder a week before. A same-week plumbing visit needs only the day-before message plus an on-the-way text.
Short, specific, and with one action. Identify your business by name in the first words, because unknown numbers get ignored.
Example text: “Smith Family Dental: reminder of your cleaning Thu Oct 16 at 9:30 am. Reply C to confirm or R to reschedule. Reply STOP to opt out.”
Read fast and acted on quickly. Best for the confirm or reschedule nudge and the day-of reminder. Needs consent records and carrier registration.
Room for detail: address, parking, forms to complete, preparation instructions and the cancellation policy. Easy to ignore, so pair it with a text.
Useful for older clients or landlines. The 2016 meta-analysis found voice reminders appeared more effective than text in the studies it reviewed, so do not drop calls if your clients answer them.
Let clients pick their preferred channel at booking and store it in their record. One reminder in the channel they read beats three in one they ignore.
Want to see where automation could save your front desk time? Reminders are often the quickest win, but rarely the only one. Our free Technology Health Assessment takes about 30 minutes of data collection. The next day you get a plain-language report rating your IT operations, cybersecurity, automation and AI opportunities, with a short list of next steps in order. It is yours to keep, with no obligation. Book your assessment.
This is general information, not legal advice. Texting rules change, so confirm your setup with counsel.
One-way reminders help. Two-way reminders help more, because they turn a reminder into an action:
Track three numbers for a month before you switch on reminders, and every month after: no-show rate, late cancellations, and slots refilled after a cancellation. Also watch opt-out rate and undelivered messages. A rising opt-out rate usually means too many messages or messages that feel like marketing. Undelivered texts often mean a registration or number-quality problem.
Connecting reminders, scheduling and your customer records is a classic small-business automation. Our automation and practical AI and systems integration teams handle the setup. For healthcare offices, see our guide to HIPAA IT requirements.

A common pattern is a confirmation at booking, a reminder two to three days before with a confirm or reschedule option, and a short text on the day or the day before.
Under the TCPA, automated texts to mobile numbers need prior express consent. A customer giving their number for appointment purposes generally counts for informational reminders, while marketing texts need written consent. Confirm with counsel.
Research suggests so. A 2016 meta-analysis of 21 randomized clinic studies found reminded patients were about 25 percent less likely to miss appointments, with multiple reminders working better than one.
Outlook calendar reminders only alert you. Microsoft Bookings, included in many Microsoft 365 business plans, sends email confirmations and reminders to customers.
Your business name, the date, time and location, one action such as reply C to confirm, and how to opt out. Keep health details out.
