The short answer

Microsoft 365 Copilot is an AI assistant built into Outlook, Teams, Word, Excel, PowerPoint and OneDrive that can read the emails, files, chats and meetings you already have access to and use them to draft, summarize and answer questions. For small businesses, Microsoft announced Microsoft 365 Copilot Business in late 2025 at $21 per user per month for organizations with up to 300 users, alongside any Microsoft 365 Business plan, effective December 1, 2025. Prices and promotions change, so confirm the current figure with Microsoft or your provider as of 2026.

Before you buy, know two things. Copilot Chat, a web-grounded assistant with enterprise data protection, is available to Microsoft 365 business users at no extra cost. And the paid version shows people everything they have permission to see, so messy file sharing becomes visible fast. Most firms should run a small pilot after a permissions cleanup, not license everyone at once.

What Copilot does day to day

  • Outlook. Summarizes long threads, drafts replies in your tone and pulls together what a client has asked for across several emails.
  • Teams. Summarizes meetings, lists decisions and action items, and answers “what did I miss” for meetings that were recorded or transcribed.
  • Word. Drafts proposals or policies from existing documents you point it to, and rewrites sections for length or tone.
  • Excel. Explains formulas, suggests charts and helps analyze tables, best on clean, well-structured data.
  • PowerPoint. Turns a document into a first-draft deck that someone then edits.
  • Copilot Chat with work data. Questions such as “what is the status of the Johnson project” drawing on emails, files and chats you can access.

The value is highest for people who spend their day in email, meetings and documents: owners, account managers, project managers and office leads. It is lower for roles that live in a line-of-business app Copilot cannot see.

Free Copilot Chat versus the paid license

Copilot Chat (included)

Grounded in web results. Users can upload a file to ask about it. According to Microsoft’s documentation, enterprise data protection applies when users sign in with their work account, prompts and responses are not used to train the underlying models, and activity is logged in your tenant.

Microsoft 365 Copilot (paid)

Adds access to your organization’s emails, files, chats and meetings through Microsoft Graph, plus Copilot inside Word, Excel, PowerPoint, Outlook and Teams. It respects existing permissions, which is why permissions must be right.

A sensible first step for most firms: turn on Copilot Chat for everyone, set a short AI use policy, and see who uses it heavily. Those people are your pilot group for paid seats.

Data readiness: the step most firms skip

Copilot does not grant new access. It finds what each person can already open. In many small businesses, that includes old SharePoint sites shared with everyone, folders of payroll or HR files with broad access, and links set to “anyone in the organization” years ago. Microsoft publishes a deployment blueprint specifically for oversharing, and SharePoint Advanced Management includes reports on sites shared with “Everyone except external users” and on broad sharing links.

Do this before any paid seat goes live:

  1. Inventory sensitive content. Payroll, HR, legal, client financials, health information and owner-only files.
  2. Review site and folder access. Remove “everyone” and organization-wide groups from sensitive locations.
  3. Expire old sharing links. Especially organization-wide and anonymous links.
  4. Apply labels where you can. Sensitivity labels mark confidential content and can restrict it.
  5. Archive stale content. Old drafts and outdated price lists produce outdated answers.
  6. Check identity basics. MFA, removal of former employees and least-privilege admin roles. Our Microsoft 365 security settings guide covers these.

Should a small firm buy it? A decision rule

Buy paid seats for a pilot group if most of these are true:

  • You already run Microsoft 365 Business Standard or Premium and staff keep files in OneDrive, SharePoint and Teams rather than local drives.
  • You have done the permissions cleanup above.
  • Several people spend more than half their day in email, meetings and documents.
  • Meetings are recorded or transcribed, so Teams summaries have something to work with.
  • Someone will own training and measure the result.

Hold off if your files live mostly on a local server or in a different document system, if sharing is a mess and nobody has time to fix it, or if your core work happens in an industry app Copilot cannot see. In those cases Copilot Chat plus cleanup is a better use of the year.

What Copilot will not do for you

  • Fix disorganized files. It finds what exists. If the latest price list is buried among five old versions, it may use the wrong one.
  • See every app. Unless connected, it does not know what is in your accounting system, practice management software or industry tools.
  • Promise accuracy. Summaries and drafts can miss details or state things confidently that are wrong. A person checks anything that goes to a client.
  • Replace process. If nobody records meetings or writes decisions down, there is little for it to summarize.

Training that makes the license pay off

Seats without training tend to go unused. Cover three things in a short session: how to write a clear request with context and the desired format, how to point Copilot at the right files, and how to check output before using it. Share a page of proven prompts for your own work, such as a meeting recap format or a proposal outline, and update it as people find better ones. Check usage reports after 30 days and follow up with anyone who has stopped using it.

How to run a 60-day pilot

  1. Pick 5 to 10 people across roles who already use Copilot Chat.
  2. Agree three tasks each to try, such as meeting recaps, proposal first drafts and inbox triage.
  3. Run a one-hour training on prompting and on checking output.
  4. Ask pilot users weekly how many minutes Copilot saved and where it got things wrong.
  5. At day 60, keep seats for people who save enough time to justify the cost and release the rest.

Questions we hear

How much is Microsoft 365 Copilot for business?

Microsoft announced Microsoft 365 Copilot Business at $21 per user per month for organizations with up to 300 users, effective December 1, 2025. Confirm current pricing and promotions with Microsoft or your provider.

Is Copilot Chat free with Microsoft 365?

Yes. Copilot Chat is available to Microsoft 365 business users at no extra cost, with enterprise data protection when signed in with a work account. It is grounded in the web rather than your company files.

Does Microsoft use my data to train Copilot?

Microsoft states that prompts and responses in Microsoft 365 Copilot and Copilot Chat with enterprise data protection are not used to train the underlying foundation models.

Can Copilot see files employees should not see?

Copilot only shows what each user already has permission to access. If permissions are too broad, it can surface that content, so review sharing before rollout.

Do I need Business Premium for Copilot?

No. Microsoft 365 Copilot Business works with Microsoft 365 Business Basic, Standard or Premium, though Premium adds security tools that help with data protection.
